Butterwell Farm is a destination for couples, families and friends alike, our guests’ enjoyment and safety is paramount and therefore we ask you to read the Terms and Conditions below before making your booking.
Butterwell Farm is categorised as a Site of Special Scientific Interest, an Area of Outstanding Natural Beauty and a Special Area of Conservation. We kindly request that you are sensitive to this environment.
In these booking conditions, ‘you’ and ‘your’ means all people named on the booking form (including anyone who is added or replaced at a later date). ‘We’, ‘us’ and ‘our’ means Butterwell Estate Limited, Butterwell, Nanstallon, Bodmin, Cornwall, PL30 5LQ
We reserve the right to ask guests who contravene these terms and conditions or who in any other way are behaving in a manner likely to cause distress or nuisance to other visitors to leave immediately. In these circumstances the holiday ceases and we shall not be liable for any extra costs incurred by you. The terms contained in this contract do not affect your statutory rights.
COVID 19 – We are certified as “Good to Go” by Visit England, the National Tourist Board of England. We naturally understand guests will be concerned about their health and safety at Butterwell. At Butterwell we have been busy taking all possible steps to respond to the challenges that Covid 19 brings to us all. We have purchased a “fogger” which will disperse natural and eco-friendly anti-bacterial sanitiser across every surface inside the property both before and after our cleaners have been in. This should give us, our cleaners and our guests peace of mind and confidence when visiting Butterwell Farm.
We believe we offer one of the safest possible environments for guests. With reference to recent government guidance concerning holiday accommodation and social distancing in the UK, we would like to be sure all potential guests understand Butterwell Farm has completely separate holiday cottages with separate private fenced and gated gardens, access roads and paths. No family or guests has any access to other holiday cottages and their gardens. There are no shared buildings or gardens and the managers have their own private accommodation and gardens. There are private grounds on Butterwell Farm covering 44 acres, which can be available to guests subject to restrictions in place at the time of their stay. These grounds have no accessible buildings and are totally adequate for guests to social distance should the grounds be open to guests.
Please be assured that we, at Butterwell, are doing everything we can to minimise the chances of infection. We have written covid-specific cleaning procedures that us and our cleaning team are following rigorously. As well as the fogger, we are using anti-bacterial and sanitising cleaning products that comply with the European standard for the bactericidal activity of chemical disinfectants as proof of effective infection control against harmful micro-organisms, disposable gloves, aprons and face coverings when necessary. We will pay particular attention to cleaning and sanitising high-contact areas such as bathrooms, door handles, light switches and handrails in all of our cottages between guests. Our laundry is washed at high temperatures to kill bacteria.
We are practicing strict social distancing with our guests, cleaners and other visitors and we are operating a self-check in and self-check out system – your key will be in the door on arrival. Please maintain a two metre distance from other guests and management at all times.
Before visiting us at Butterwell Farm we kindly ask that you make yourself familiar with the relevant NHS and government guidance about symptoms and self-isolation:
If you, or anyone you have come into close contact with, currently display symptoms of coronavirus please do not come to Butterwell Farm and get in touch with us. Follow the government guidelines and self-isolate. COVID-19 Government guidance for the public states: “the most common symptoms of coronavirus are recent onset of a continuous cough or high temperature or a loss of, or change in, normal sense of taste or smell”.
If you get ill whilst you’re here please let us know. We will encourage a guest who falls ill during their stay to return home where possible in order to have better access to support and facilities.
For us to be able to implement our new cleaning procedures we have had to alter our check in and check out times:

As a precaution and to reduce risks we are removing some items from our properties:
Tea, coffee, sugar, milk, salt, pepper and cooking oil.
Sofa and bed throws (please bring spare throws or blankets if you think you would like them).

We encourage guests to maintain the cleanliness of the property during their stay and we have provided suitable cleaning products and cloths for your use.
Before your departure please can we ask you to help us with the following to reduce and minimise the risk of infection to us, our cleaners and the next guests:
– Please open all windows as this will help to ensure there is no airborne virus in the property before our cleaners arrive.
– We have provided two laundry bags – please put all used linen in one bag ensuring all duvet covers are “the right way around”. Please leave pillow and mattress protectors on as these will be inspected and either removed by the cleaners to either be washed or sprayed with the fogger. Please put used towels, bathmats, shower curtains, tea towels, oven gloves and cleaning cloths into the other bag
– Please put all crockery (plates & bowls), cutlery, mugs and glasses used in the last 3 days into the dishwasher and turn it on.
– Please place all DVDs, games, puzzles, books, magazines, etc. used in the last 3 days into the “quarantine box” provided.
– If you have used the washing machine during your stay please put it on a 90 degree wash cycle and leave the door ajar if it finishes when you are there.
– Please bag up all rubbish from kitchen and bathrooms and leave it outside the property along with recycling boxes.
We are naturally sympathetic to our guests who are unable to visit due to government-imposed restrictions closing or preventing travel to Butterwell, but we are also seeking to protect Butterwell from severe financial implications which might prevent us from accepting guests once restrictions are lifted. Our policy is to seek to avoid our guests losing their deposits by agreeing deferrals of their stay up to and including December 2021 or 15 months from arrival date, whichever is later, and giving full credits to the value of deposits and or balances paid towards the cost of a future booking. Where balances are due and these restrictions still apply, it is our policy to defer the receipt of these amounts until three weeks before the intended stay, at which point we will discuss if necessary with guests deferring their stay and receiving a credit of the value of their deposits towards a future stay.
We thank all of our guests who have already accepted deferrals of their stay and we hope you will understand we believe this is the best way to avoid financial loss to our guests and ensure Butterwell will be there for you to enjoy in the future.
THIS CONTRACT – This contract is with Butterwell Estate Limited. A contract exists as soon as we have issued our confirmation letter and you should please check this carefully to see that it reflects your wishes.
ARRIVAL AND DEPARTURE TIMES – Our guaranteed arrival time is 16:00pm and our check out time is 09:30am. Please let us know in advance by email your estimated arrival time: email@example.com If we are not going to be present at the property then we will give you a code for a key safe so you can access your property. GENERAL – For self-catering the price paid includes bed linen, towels, bath mats, tea towels and oven glove.
Available for your use by prior arrangement are travel cots (excluding bedding) and high chairs at no extra cost but we must know in advance of your arrival.
We provide a few bins bags, dishwasher tablets, washing up liquid and soap to get you started but please bring extra if you think you will be eating in a lot.
MAKING YOUR BOOKING – You as the person in charge of the party (the party leader) must be at least 18 years old at the time of booking. All other members of the party must authorise you to make the booking on the basis of these conditions. By making the booking, you confirm that you are authorised to make the booking and that all other members of the party agree that the booking will be governed by these conditions. You are responsible for making all payments due to us.
We reserve the right to refuse any booking before we send you your written confirmation. If we do this, we will tell you in writing and promptly refund any money you have paid to us. In this case, we will not have any legal responsibility to you. When you receive your confirmation, you must check the details carefully. If anything is not correct, you should tell us immediately.
A 30% deposit is required on booking and the balance to be paid no less than 8 weeks prior to arrival. Your dates are not secured until we have received a deposit and you have received a confirmation letter from us.
DAMAGES – We reserve the right to charge for damage done by guests, although we do not normally charge for minor breakages. We hereby formally disclaim any liability for any losses or injury sustained by guests or their property except where negligence on the part of ourselves or our staff is legally proven. We reserve the right to enter your accommodation giving reasonable notice except in the case of an emergency. You and all members of your party agree to keep the property clean and tidy, to leave the property in a similar condition as you found it when you arrived, and to behave in a way at all times while at the property which does not break any law.
COMPLAINTS OR CONCERNS – you must notify us of any problems, breakages or complaints immediately so that remedial action if appropriate can be taken. We cannot accept any liability to any shortcomings or claim of whatever nature if you fail to notify us of any complaint during your holiday.
CANCELLATION POLICY – All cancellations will incur a £35 administration fee. We strongly recommend that you take out holiday cancellation insurance. In the event of cancellation more than 8 weeks prior to arrival your deposit is non-refundable unless we manage to re-sell the property for the full period of the reservation. We will partially refund your payment if we manage to re-sell a percentage of your stay, however we will endeavor to do our upmost to sell the full period. In the event of cancellation less than 8 weeks prior to arrival the full amount is non-refundable unless we manage to re-sell the property for the full period of the reservation. EVENTS BEYOND OUR CONTROL – Unless we say otherwise in these booking conditions, unfortunately we will not be legally responsible individually for any compensation if we are prevented from carrying out our responsibilities under this contract as a result of events beyond our control. This means an event we could not, even with all due care, expect or avoid, including: strike, lock-out or labour dispute; natural disaster; acts of terrorism, war, riot or civil commotion; malicious damage; keeping to any law or governmental order, rule, regulation or direction; accident; breakdown of equipment or machinery; insolvency or bankruptcy of an owner or service provider; fire, flood, snow or storm; difficulty or increased cost in getting workers, goods or transport; and other circumstances affecting the supply of goods or services.
DISABILITIES OR MEDICAL CONDITIONS – Unfortunately due to the nature of our grounds we are not able to accommodate wheelchair users. If you or any member of your party has any medical problem or disability that may affect your booking, please tell us before you confirm your booking and give us full details in writing as early as possible before you travel. If we feel unable to properly meet that person’s particular needs, we can refuse or cancel the reservation.
SMOKING – All buildings are No Smoking. If you do smoke outside you must not cause a nuisance to other guests and you must ensure your litter is properly disposed of.
FIRE NOTICE – Please read the Fire Notice located at the entrance to your guest accommodation – the management cannot be responsible for non-compliance with this notice.
QUIET TIME 10.30pm – 7.30am – We are located in a peaceful and quiet countryside location so we enforce a no noise policy after 10.30pm for the benefit of you and your neighbours. At other times excessive noise that can be heard from outside the accommodation or that is to the annoyance of others cannot be made.
THE ESTATE AND RIVER – It is important to be aware of the dangers and risks close to the river, including, but not limited to, deep water, slipping, tripping, falling and drowning. Guests are requested to keep to the higher path along the river and not get too close to the river or throw stones. This is to protect the fish in the river, which might be spawning. Please always take care to close gates behind you. Children under the age of 13 must be accompanied by a responsible adult outside of the enclosed garden areas, especially when close to the river. Please take care not to disturb the guests fishing on the river by getting too close to them or making excessive noise. Please do not feed the sheep or chickens.
DOG POLICY –
- We allow well-behaved dogs at £20 per dog per week.
- Dogs are not allowed in the bedrooms or on any furniture.
- Dogs are not permitted to be left alone at the property at any time.
- Dogs must be on the lead AT ALL TIMES without exception when outside of your private garden. And especially kept away from the river – unless in the ONE designated area in front of the main house and still kept on a lead– please refer to the guidelines on arrival.
- Dog mess must be picked up and disposed of in your external property bin inside a bin liner.
- Please try to remove dog hairs from carpets and rugs before your departure.
FISHING – Fishing must be booked in advance with the owners directly. We give priority to guests but we strongly RECOMMEND guests book their fishing as far in advance as possible to avoid disappointment as we only have 4-5 rods available at any one time.
